DBVW Architects is accepting resumes for the position of Receptionist/Office Coordinator. The firm is seeking applicants with strong organizational skills and the ability to represent DBVW Architects in a professional and welcoming manner. The ideal candidate for this position is extremely organized, efficient and detail-oriented, and has previous experience in a professional, dynamic, office environment. A warm, outgoing personality and a “can-do” attitude are essential. The ability to interact with staff, consultants, and clients at all levels with a high degree of professionalism is essential to this role. This person must also be skilled in the use of Microsoft Office suite. An understanding of the architecture, engineering and construction industry is a plus.

Monday through Friday, 30-40 hours per week; hours negotiable. 

The Receptionist/Office Coordinator will work closely with the firm’s Principals and Financial Manager on the following tasks:

-Answering phones

-Staffing reception desk

-General building and parking lot management

-Managing mail distribution

-Stocking office supplies

-Coordinating and maintaining office appearance, including keeping things tidy on a daily basis, cleaning conference rooms after meetings, and coordinating with cleaning company and landscape maintenance

-Setting up and breaking down coffee station daily and maintaining kitchen organization

-Coordinating internal and external lunch caterings and Friday afternoon happy hours

-Assist designers with samples library

-Support Marketing department in proposal production and administrative tasks

-Processing contracts with AIA software

-Processing paperwork for Purchase Order Compliance on municipal contracts

-Set up/schedule meetings, organize conference rooms, tidy up conference rooms after meetings and at end of each day

-Maintain insurance certificates, registrations and licenses

-Project information filing

-Scanning and printing
